Fund Development Resources - Capital Campaigns: The Real Cost of Acquiring a Building
It's so easy to overestimate your income and underestimate your expenses when you are preparing a budget. It's also easy to leave those rose-colored glasses on when you are planning a capital campaign to acquire a building. Here are some things to consider:
Down-
payment
Don't try to guess how much of a loan your nonprofit will qualify for if you are not going to be able to raise enough funds to purchase the building immediately. You could be off by a huge chunk of money which will throw your budget way off. Meet with a banker to determine what nonprofit resources you will need.

Improve-ments & Furnishings It's highly unlikely that you will be able to find the PERFECT building or space; you will probably need to do improvements, sometimes major improvements like converting warehouse space to office space so make sure you budget enough; and don't be thinking you can get everything donated by volunteers or members (or their spouses!) - build into the budget as if you have to pay for everything and if it gets donated - FABULOUS - you have extra money for something else important you forgot to add in....

Monthly Expenses Build into your budget the increased monthly expenses you will have once you are in a new building (or your first building). You will need to get or upgrade your property insurance, liability insurance etc. You will also have a new maintenance expense - you will need to increase your reserves to cover emergency and other repairs to your new building - talk to your real estate agent about the formula used to estimate monthly maintenance needs - based on the size and expense of your building.

Marketing Expenses It's really not like Field of Dreams where you build it (or move into it) and they will come - you will need to have a comprehensive marketing budget to promote your new location for at least the 1st year.
